Professional prospecting
AudioPhone System prepares professional outreach related to group tours. Contact details published on official websites, activity, country, language, source and collection date are examined in a register separate from the newsletter. Publishing an address does not constitute consent: country rules and the relevance of the message are checked before any sending.
Permissible professional processing may rely on a documented legitimate interest; prior consent is required where necessary. The first message states the source, the identity of the Phileas Horizon association and a free means of opting out. Records are accessible only to authorised administrators. Contact details collected without informing the prospect are erased no later than thirty days afterwards. Informed contacts are retained for a maximum of three years after collection or the last contact initiated by the prospect; data no longer needed may be erased sooner. A hash of the address is retained to respect opt-outs permanently and prevent collection again. No email-open tracking pixel is used.
You can request access, rectification or erasure, or object to prospecting, by contacting contact@audiophone-system.com. A response is normally provided within one month. A reply, unsubscribe request or invalid address stops follow-ups. Rights and recourse to the CNIL are described below.
Partner referral tracking
The referral programme records daily totals of clicks on partner links, without storing IP addresses or device fingerprints in this register. These totals are not unique visitors. Daily totals are retained for up to 366 days; random identifiers used to prevent duplicate clicks are retained for up to 24 hours.
With your consent, the first-party “aps_ref” cookie remembers the last accepted partner for 30 days so that a booking can be attributed to their recommendation. You can decline and use the site normally, or withdraw consent using “Manage my referral consent” in this section. The “aps_aff_choice” cookie remembers your choice for 30 days. You can also voluntarily enter a referral code in the booking form without accepting this tracking cookie.
The partner reference and agreed commission terms are saved with the booking for commercial follow-up. Partners can view order references and amounts, but cannot access the customer’s name, email address or guide access code. Their business contact details and credentials are restricted to programme administration. No commission payout is triggered automatically by this site. Cancellations and refunds must be checked before payment.
1. Your contacts
Phileas Horizon · RNA : W062021407 · SIRET : 13165438600013
The Phileas Horizon association operates the AudioPhone System concept under licence. Rivieramedias acts as technical service provider and is your contact for data processed by this website. You may write to contact@rivieramedias.com, or to 50 boulevard Stalingrad – Le Port, 06300 Nice, France. Your request will be directed to the operator responsible for the service.
2. Booking requests
Booking, accessory and partnership forms collect your name, email, selected solution, group size, date, duration, membership status and agreement to be contacted. Accessory requests specify the product and quantity. Partnership requests may specify your activity and website. Phone number, organisation, location and comments are optional. Required fields must be completed to submit a request. Do not include sensitive information in comments.
This information is used to prepare a quotation, respond to your request and arrange a possible service. Processing is based on pre-contractual steps taken at your request, then performance of the contract if concluded. Agreeing to be contacted does not authorise general advertising prospecting.
3. Broadcasting, languages and recordings
Participants receive a technical session identifier without a named account. Connection and language selection provide listening access and display the listener count. LiveKit carries the voice stream. Microsoft Azure Speech processes audio when the guide activates transcription or translation.
The application does not automatically retain a recording of a live broadcast. If the guide chooses to record or export a transcription, the file is created on their device and subsequently managed by them. Recent transcription segments are used for display during the session. Files uploaded to a prepared tour are stored on the hosting service for playback.
4. Optional location sharing
During a self-guided tour, your position is used in the browser to trigger stops and is not sent to the application server. Sharing your position with the guide is a separate, optional function: with your permission, coordinates are transmitted to display the group map and distance from the guide. You can stop sharing. The map is not a safety device.
Map tiles are loaded from OpenStreetMap. In the tour editor, address searches send the query to the Photon service. These services may receive the technical information required for their requests.
Private help with Ness
Guides can start a voice or written conversation with Ness. This help uses Anam and starts only at their request. The microphone broadcast to the group and file playback are stopped during the conversation. After closing it, guides must resume broadcasting themselves.
The guide's questions and voice, if they allow microphone access, are sent to Anam to generate responses. AudioPhone does not send GPS positions, the tour transcript or customer details to this player. AudioPhone System does not save this conversation. Processing and any retention by Anam are governed by its privacy policy. Help is limited to five minutes per conversation.
5. Recipients and hosting
Bookings and hire, accessory and partnership requests are stored on o2switch hosting in private storage accessible to authorised operators. They are not published or sold to advertisers.
For live audio payments, PayPal receives the amount, currency and order reference. Payment takes place on PayPal; AudioPhone System does not collect card numbers. The server retains payment confirmation, the transaction reference and information needed to manage the booking. Payment evidence is retained separately from requests and is subject to applicable accounting obligations. Deleting a request does not delete payment evidence.
Technical providers receive data necessary for their role: website hosting, audio transport, speech processing or mapping. LiveKit and Microsoft services are configured in European regions. Some processing or international provider support services may nevertheless involve transfers outside the European Union; applicable contractual safeguards must be checked with the providers concerned.
6. Retention periods
A request is retained while it is reviewed and the quotation followed up. If it does not lead to a contract, retention ends when that follow-up closes, unless evidence of correspondence or a legal obligation requires retention. If a booking is concluded, necessary information is retained for performance and applicable accounting or litigation obligations.
Sessions and their technical permissions have a maximum duration of eight hours. Expiry of access does not automatically delete associated administrative metadata. Shared location is not written to the persistent session file; it stops being displayed when it is no longer updated or when the session ends.
Tour files remain available while published and until deleted by the operator. Files downloaded by the guide remain until deleted from their device. Hosting backups and logs are subject to the host’s own retention periods.
8. Newsletter and your rights
The newsletter requires your explicit agreement followed by email confirmation. Subscribers are kept separate from quotation requests and other websites’ lists. Confirmation links expire after 48 hours, and every newsletter includes an unsubscribe link. Your address and evidence of consent are retained during your subscription; deletion requests are handled by the relevant contacts. Administrative tracking records accepted sends and failures without an email-opening tracking pixel.
Depending on the processing, you may request access, correction, erasure or restriction of your data, object to processing or request portability where these rights apply. You may withdraw location permission or consent without retroactive effect.
Write to contact@rivieramedias.com and explain your request, including its reference if available. Proportionate identity verification may be required. A response is provided within the GDPR deadline, normally one month, with extensions possible in the cases permitted.
You may also submit a complaint to the CNIL. To understand this information: CNIL guidance (in French).
Website help chat
The optional website help chat uses tawk.to. It loads only after you accept and open it. Technical connection data, the public page viewed and your messages are processed by this provider to deliver the chat. Cookies or local storage may maintain the conversation. We do not transmit private guide codes, administrator codes, payment links or booking data to the chat. Do not enter passwords or payment details. This chat does not subscribe you to marketing. Close and disable the chat using the button below; opening it again requires a new agreement.
Contact contact@audiophone-system.com for questions or rights requests. Provider information: tawk.to privacy information. tawk.to describes international transfers in its data processing terms. Closing the chat does not erase messages already sent.
Advertising campaign attribution
With your optional consent, a first-party cookie remembers the last accepted advertising link for 30 days. It contains campaign and advertisement identifiers, not your name, email or a Google click identifier. With your advertising measurement consent, the Google Ads tag sends technical browsing data and advertising click identifiers to Google. Confirmed paid bookings may send their amount, currency and transaction reference once the conversion action is configured. Names, email addresses, payment links and private guide codes are excluded. Google advertising cookies are configured for 30 days; ad personalization is disabled. The consent choice is stored in your browser for 30 days. You can decline or withdraw consent below. Refusing or withdrawing consent does not affect booking. DNT and GPC signals exclude this attribution.
When a booking is made, the campaign reference is retained with its payment record to compare advertising expenditure with revenue. Google Ads reporting is accessed only by authorised administrators. Attribution may be incomplete; refunds and missing fees must be reconciled with PayPal.
